Shipping Policy
1. Scope of Application
This shipping policy applies to the shipping services of ORION TECH TRADE LTD (hereinafter referred to as "our company", website: oriontechbiz.com; contact email: office@oriontechbiz.com) for the sale of large-capacity tote bags to consumers within the EU/EEA. It covers order fulfillment, logistics and delivery, shipping time, cost allocation, and handling of exceptions, and works in conjunction with the "EU Return and Exchange Policy" to ensure your shopping experience.
This policy applies regardless of whether you place your order through our website, email, or other legal channels, as long as the delivery address is located within the EU.
2. Shipping and Delivery Time
(I) Shipping Time After you successfully place your order and complete payment, our company will complete the shipment within 6-9 business days (excluding EU public holidays and weekends). If the product you purchased is out of stock, we will inform you of the restocking period in advance via office@oriontechbiz.com. We will arrange shipment after your confirmation. If you choose to cancel the order, we will refund the full amount within 3 business days.
(II) Transportation Time After goods are shipped from our domestic warehouse, they will be delivered to the EU via compliant cross-border logistics service providers (such as DHL, FedEx, UPS, or local EU logistics partners).
The transportation time is 15-30 calendar days, and the specific delivery time is affected by the following factors: Geographical location of the delivery address within the EU member state: For logistics hubs in Western and Southern Europe (such as Germany, France, and Italy), the transportation time is usually 15-22 calendar days. For remote areas in Eastern and Northern Europe (such as Finland, Hungary, and parts of Poland), it may be extended to 22-30 calendar days;
Cross-border customs clearance efficiency: The EU customs inspection process may cause slight fluctuations in transportation time. Our company will prepare complete customs clearance documents (such as commercial invoices and certificates of origin) in advance to shorten the customs clearance cycle;
Peak logistics periods: During periods such as Christmas and Black Friday shopping festivals, logistics service providers may experience tight capacity, and the transportation time may be extended by 3-5 calendar days. Our company will publish notices of peak period delivery time adjustments on our official website in advance.
(III) Delivery Time Inquiry and Notification
After shipment, we will send you the tracking number and tracking link via email (you can track the shipping progress in real time through the logistics service provider's website or our website's "Order Inquiry" section). If the delivery has not been received after 30 calendar days, you can contact us at office@oriontechbiz.com. We will immediately verify the situation with the logistics service provider and provide a solution within 2 business days.
3. Shipping Cost Bearing Rules
(I) Cost Calculation Standard
Shipping costs are calculated based on the weight and volume of the goods and the logistics costs of the EU member state where the delivery address is located. The specific amount will be automatically displayed on the order settlement page when you place your order, which you can clearly view before completing payment.
(II) Special Circumstances Regarding Cost Bearing: If the shipment is delayed due to reasons attributable to our company (such as failure to ship within the agreed time or missing items), and you choose to continue waiting for receipt, we will waive 50% of the shipping cost for this order. The waived amount will be refunded to your original payment account within 3 business days after you confirm receipt of the goods. If the goods are damaged or lost during transportation due to the fault of the logistics service provider (proof of abnormal logistics receipt is required), we will resend the goods or provide a full refund, and will bear all costs of both shipments without charging you any additional fees. If you cancel your order after shipment (not due to reasons attributable to our company), you will be responsible for the incurred cross-border shipping costs (calculated based on the actual amount charged by the logistics service provider). The remaining payment will be refunded within 7 business days after we confirm the goods have been returned to our warehouse.
4. Goods Protection During Transportation
(I) Packaging Protection
To ensure that goods are not damaged during long-distance transportation, our company uses multi-layer protective packaging:
The inner layer uses a dustproof bag to wrap the tote bag to prevent the fabric from getting dusty;
The middle layer uses shockproof bubble wrap to cushion the impact during transportation;
The outer layer uses a thickened corrugated cardboard box, filled with cushioning cotton to prevent the goods from being squeezed and deformed. The outside of the cardboard box is marked with warning labels such as "Fragile" and "Handle with Care".
(II) Risk Assumption of Transportation If any damage, loss, or shortage occurs before the goods are signed for by you, our company will negotiate with the logistics service provider to assume responsibility:
If the goods are repairable (e.g., minor scratches, loose stitching), our company will provide free repair services, and the logistics costs incurred during the repair period will be borne by our company; If the goods are irreparable or lost, our company will remake or resend the goods, or provide a full refund of the order amount. You can choose the solution yourself; When you sign for the goods, you must check the quantity, appearance, and packaging integrity of the goods on the spot. If you find any abnormalities (e.g., damaged packaging, damaged goods), you must note the abnormalities on the logistics receipt and take photos/videos for record-keeping.
You must also provide feedback within 24 hours via office@oriontechbiz.com. Failure to provide feedback within the time limit will be considered as acceptance of the goods in good condition, and our company will no longer be liable for transportation damage.
5. Handling of Transportation Anomalies
(I) Logistics Information Stagnation
If you find that your goods have been stalled at a certain stage for more than 5 calendar days (e.g., the "Under Customs Clearance" status has not been updated for 5 consecutive days, or there is no new tracking information for "In Transit"), please contact our customer service (office@oriontechbiz.com). We will:
Contact the logistics service provider within 1 business day to verify the reason for the stagnation (e.g., customs clearance obstruction, sorting delay);
Regarding customs clearance obstruction: If it is due to missing documents, we will immediately supplement the materials; if it is due to goods inspection, we will assist customs in completing the inspection process to ensure that the logistics progress is advanced within 3 business days;
Regarding sorting delay: We will request the logistics service provider to prioritize your order. If the delay exceeds 7 calendar days, we will apply for delay compensation from the logistics service provider for you and refund the compensation amount (usually 30%-50% of the transportation cost) to your account.
(II) Wrong/Missing Items If you find that the received goods do not match the order information after signing for the package (e.g., incorrect style, color deviation) or are missing (e.g., not receiving some items in the order), you must provide us with the following within 3 business days of signing for the package: A screenshot of the order, photos of the actual goods (showing the difference between the product label and the order information), and proof of receipt; After our review and approval, we will resend the correct or missing goods to you within 6-9 business days, and we will bear the shipping costs; If you choose to return the goods, we will refund the full amount of the goods and the original order's shipping costs, and will also bear the shipping costs for the returned goods.
(III) Shipping Issues Due to Incorrect Addresses If the goods cannot be delivered or are returned due to an incorrect or incomplete delivery address provided by you (e.g., missing house number, misspelled street name), our company will: Upon receiving a "delivery address invalid" notification from the logistics service provider, we will immediately contact you via email to confirm the correct address; If you provide the correct address within 3 business days, our company will arrange for re-delivery, and you will be responsible for the secondary shipping costs (calculated according to the original shipping cost standard); If you fail to confirm the address within 3 business days, or refuse to bear the secondary shipping costs, our company will cancel the order and refund the remaining payment after deducting the original shipping costs; If shipping issues are caused by incorrect address entry by our staff, our company will bear full responsibility, including the re-delivery shipping costs and any additional costs incurred due to the incorrect address (such as logistics return fees).
6. Policy Updates and Consultations Our company will revise this shipping policy in a timely manner based on changes in EU cross-border logistics regulations, adjustments to the rates of our partner logistics service providers, and business development needs. The updated policy will be prominently displayed in the "Service Policy" section of the oriontechbiz.com homepage. It will take effect after a 7-day public notice period.
